    1. When and where is IAAPA Expo 2025 held?

    IAAPA Expo 2025 in Orlando is scheduled from November 17th to November 21st, 2025, and will be held at the Orange County Convention Center (OCCC) in Orlando, Florida, USA. It will span both the North and South Concourses

    2. When should I start planning for IAAPA Expo?

    Meticulous planning is key to success. While the expo is in November, registration for IAAPA Expo 2025 opened on June 11, 2025. It’s advisable to start planning as early as possible, ideally several months in advance, to define your outcomes, identify and attract ideal visitors, manage visitor experience, manage leads, and measure performance. Key deadlines for exhibitors are available on the IAAPA website’s Exhibitor Deadlines / To Do List.

    3. What’s the process to register for IAAPA Expo?

    To register for IAAPA Expo as an exhibitor:

    1. Go to the Exhibitor Registration site.
    2. Search for your company name and confirm it.
    3. Enter your company password (used with your eBooth) or contact Exhibitors@IAAPA.org for assistance.
    4. Once logged in, click the “Register Personnel” button to register your staff.
    5. You can edit or delete staff registrations, and request confirmation or visa invitation letters from this screen.
    6. Badges are picked up on-site, and each individual will need to collect their own badge with a valid ID (passport if outside of China for IAAPA Expo Asia, likely similar for Orlando) and possibly a company business card.

    All exhibitors must submit a Booth Layout Form and an Audience Participation Safety Form.

    Additional documents are needed for dynamic devices (rides), flammable materials, or unapproved food service. These include liability insurance (US$3 million aggregate, US$2 million per occurrence), operational procedures, safety signs, and operator training records.

    Move-in for IAAPA Expo 2025 begins on Thursday, November 13th, 2025, for targeted exhibitors, with general exhibitor move-in starting on Saturday, November 15th, 2025.

    • Linear & Perimeter Booths: 8′ high back wall, 3′ high side rails, neutral-colored exposed surfaces.
    • Island Booths (20’x20’+): Max 20′ high structure, hanging signs max 25′ high (with specific spacing rules), finished surfaces.
    • Outdoor Booths: No carpet required, product can exceed 75% of space, no drilling, special rules for tents and drainage.
    7. How do I design a booth that stands out at IAAPA Expo?

    To make your booth stand out:

    • Design an open and inviting space with clear messaging.
    • Incorporate interactive elements (VR, live demos).
    • Provide comfort and convenience (seating, charging).
    • Use effective lighting.

    19. Come dovrei comportarmi dopo la fiera?
    Rispondi rapidamente, entro 3-5 giorni. Ringrazia i visitatori, allega gli opuscoli e menziona il tuo stand. Ti aiutiamo a configurare un sistema digitale di acquisizione dei contatti, così potrai esportare i dati e contattare tutti senza intoppi.
