Holiday Matsuri 2025 will be held from December 19-21, 2025, at the Orange County Convention Center (West Concourse) and the Hyatt Regency Orlando.

Start planning as early as possible. Discount price deadlines for exhibitor services (like Shepard for custom rentals and standard orders) can be as early as November 2024. Exhibitor Appointed Contractor notification deadlines are also around that time.

Exhibitor registration involves applying through the official Holiday Matsuri website. While general attendee registration is already open, exhibitor-specific information will be provided on their site, likely under an “Exhibitor” or “Vendor” section.

For exhibitors, generally expect to prepare:

• Company and contact information for application.
• Payment for booth fees.
• Any required licenses or permits for your products/services.
• Proof of insurance (often a Certificate of Insurance).
• Booth layout forms and drawings, especially for larger or custom booths.
• Information for shipping and freight services.

Exhibitor move-in times are usually specified in the Holiday Matsuri Vendor Kit or Exhibitor Manual, which will be released closer to the event. General exhibitor move-in typically occurs the day before the event officially opens to attendees. No load-in is permitted after designated times.

While specific Holiday Matsuri regulations are best found in their Exhibitor Manual, general trade show regulations often apply:
